The Admin Assistant will be responsible for supporting Management and other Professionals, to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities. Part of your duties will be to follow up and organize meetings for Management and staff, welcome office visitors and compose documents on behalf of the company. Below are other responsibilities for the job role:

    • Schedule appointments and maintain calendars
    • Schedule and coordinate staff and other meetings
    • Collate and distribute mail
    • Prepare communications, such as memos, emails, invoices, reports and other correspondence
    • Write and edit documents from letters to reports and instructional documents
    • Create and maintain filing systems, both electronic and physical
    • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
    • Update and maintain office policies and procedures
    • Order office supplies and research new deals and suppliers
    • Maintain contact lists
    • Book travel arrangements
    • Submit and reconcile expense reports
    • Provide general support to visitors
    • Act as the point of contact for internal and external clients


Requirements and skills

    • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
    • Knowledge of office management systems and procedures
    • Working knowledge of office equipment such as printers and photocopiers.
    • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
    • Excellent time management skills and the ability to prioritize work
    • Attention to detail and problem-solving skills
    • Excellent written and verbal communication skills
    • Strong organizational skills with the ability to multi-task
    • Additional qualification as an Administrative assistant or Secretary will be a plus
